Purchasing Coordinator

Summary

Responsible for purchasing and administrative support for the site, including purchase order generation, tracking, and close out. Partner with shared service group, customer service team, and shipping department to ensure all responsibilities are fulfilled. Administrative support to front office including inventory orders, and phone and visitor communications. 

Essential Duties and Responsibilities

  • Daily use of ERP system for a variety of tasks
  • Monitor open orders to ensure on-time delivery of material to production
  • Expedite and adjust purchase orders to accommodate changes in the production plan
  • Enter purchase orders to vendors
  • Ensure compliance to Hyperion’s global procurement policy
  • Organize and file all closed folders
  • Assist the Customer Service Team and the Shipping Department
  • Coordinate with shared service team to process intercompany invoicing
  • Provide regular demand forecasts to selected key suppliers
  • Answers phones and responds to emails in a timely and courteous manner. Troubleshoots situations and resolves independently when possible. Escalates as necessary. 
  • Reviews invoices and processes for payment. Performs minor bookkeeping duties. 
  • Provides administrative and clerical support to members of the office staff. 
  • Develops and implements filing systems. Maintains comprehensive and accurate records. Ensures security, integrity, and confidentiality of files. 
  • Assists with communications at the site as needed. Posts and removes announcements on display monitors and bulletin boards. 
  • Monitors and maintains office supplies including paper and toner supplies at printers.  Orders supplies as necessary. Arranges printer maintenance and repairs. 
  • Welcomes visitors, responds to their questions, connects them with employees they are there to meet. 
  • Sorts and distributes mail and packages. Manages outgoing mail.
  • Responds to customer inquiries and complaints. Escalates and routes to appropriate individuals to resolve.

Education and/or Work Experience

  • High School diploma or equivalent
  • One to three years of experience in a purchasing or administrative role
  • Ability to work in a fast-paced work environment

Technical Skills/Physical Requirements

  • Must have adequate computer skills utilizing Microsoft Office Programs: Outlook, Excel, Word 
  • Excellent interpersonal communication skills, written and verbal, in support of internal and external customers
  • Experience with ERP is preferred 
  • Ability to lift up to 30 pounds
  • Travel - generally not required
